Open Career is committed to protecting your privacy and complying with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This Privacy Policy explains how we collect, use, store, and share your personal data when you use our Platform, as well as your rights in relation to that data. Please read this policy carefully to understand our practices regarding your information.
By using Open Career, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please discontinue use of our Platform. We may update this Privacy Policy from time to time (for example, to reflect changes in law or our services), and we will notify users of significant changes. The “Last Updated” date above indicates when the latest changes were made. We encourage you to review this page periodically for any updates.
1. Data We Collect
We collect various types of information from and about users of Open Career, including:
1.1 Information You Provide Directly:
When you register as a Candidate or Employer, create a profile, or fill in forms on our Platform, you provide personal information. For Candidates, this may include your name, email address, password, location, work experience, education, skills, CV/resume, and any other details you choose to provide about your job preferences or qualifications. For Employers, this may include your name, email, company name, company details, job title, and information about job vacancies you post (such as job descriptions, requirements, salary ranges, and location). If you contact us for support or provide feedback, we will collect that correspondence. Providing this information is generally optional, but some features (like applying to jobs or posting jobs) may not be usable without it.
1.2 Social Login Information:
If you choose to register or log in via a third-party account (e.g., Google or Facebook), we receive information from that account such as your name, email address, and potentially other profile details (like your profile picture) that you have permitted the third-party to share. We use this information to create or log you into your Open Career account. We do not receive your third-party login passwords. Please note, information obtained from Google or Facebook is handled in accordance with this Privacy Policy, but those companies will also process your data under their own privacy policies.
1.3 Automatic Information (Usage Data):
When you use our Platform, we automatically collect certain technical information about your device and your activities on the site. This includes your IP address, browser type, device type, operating system, referring website, pages viewed, how long you spend on pages, and the page you visited before navigating to our site. We collect this through cookies and similar tracking technologies (see the “GDPR & Cookies Policy” below for more details). We use this information to analyze how the Platform is used, to troubleshoot performance issues, ensure security, and improve our services. For example, we use Google Analytics to help us understand aggregate user behavior on the site (such as which pages are most visited or how users navigate through the site).
1.4 Financial Information:
Currently, Open Career does not charge users and does not collect payment information. In the future, if we introduce paid services for which payment is required (for example, paid job postings or premium features), payments will be processed by third-party payment processors like Stripe. We will not store your sensitive financial details (such as full credit card numbers); instead, that information will be collected and used by the payment processor on our behalf. We may keep a record of your transactions on our Platform (e.g., date, amount, and what service was purchased) and basic billing contact information for invoicing and accounting purposes. Financial data will be handled via secure third-party services and subject to their protections and policies.
1.5 Information from Others:
We may receive personal information about you from other users or third parties. For instance, if you are a Candidate, an Employer might add notes or ratings about
you in their account (this information remains with that employer’s account unless shared with us for moderation or legal reasons). If someone refers you to our Platform or if we partner with third-party job aggregators that forward your details (with your consent) to Open Career, we will collect the information provided (such as a CV forwarded by a recruiter). Additionally, if an Employer provides personal information about their staff or recruiters when creating an employer account, we will collect that information. We assume that any information provided to us about a third party has been provided with that party’s consent or otherwise in compliance with privacy laws.
We make an effort to minimize the data we collect to only that which is necessary for the purposes described. You have choices about the information you provide (for example, you can choose not to fill out optional profile fields), but note that missing information may limit the usefulness of the Platform (e.g., an incomplete profile might result in fewer job matches or less interest from employers).
2. How We Use Your Information
We use personal data collected from you for the following purposes:
2.1 Providing and Improving the Service:
We use your information to operate Open Career’s core functionality. This includes creating and maintaining your account, allowing you to search or post jobs, facilitating job applications (e.g., sending a Candidate’s application and profile to an Employer), and enabling communication between Candidates and Employers. We also analyze usage patterns to improve our Platform, develop new features, and enhance user experience. For example, usage data helps us identify which features are popular or if certain pages are causing confusion, so we can refine them
2.2 Communication:
We use contact information (like your email address) to communicate with you. For Candidates, we may send confirmation emails when you apply for a job, notifications
about new job matches or relevant opportunities (if you opt in to such alerts), or updates about changes to the Platform. For Employers, we may send notifications when applications are received, reminders about job post expirations, or suggestions of potential candidate matches. We may also send important announcements about security, privacy, or legal updates relating to the Platform. You can manage your email preferences and opt out of certain communications (such as marketing emails or job alerts) at any time by using the unsubscribe link in the email or through your account settings.
2.3 Marketing and Promotions:
With your consent (where required), we might use your contact details to send newsletters, surveys, or information about new features and promotions offered by Open Career that we believe may interest you. We will not overload you with marketing messages, and you can opt out of marketing communications at any point. We do not sell your personal data to third-party marketers
2.4 Analytics and Personalization
We use analytics tools (like Google Analytics) to understand how
users interact with our site. This helps us make data-driven decisions to improve functionality and content. For example, understanding which pages are most visited can guide what features we develop next. We might also use usage data to personalize your experience – for instance, by recommending jobs to Candidates based on their browsing or application history, or suggesting relevant candidate profiles to Employers based on their job postings. Any such personalization is intended to make the Platform more useful to you.
2.5 Advertising and Retargeting:
We may use third-party advertising tools (like the Facebook/Meta
Pixel or Google Ads cookies) to measure the effectiveness of our own advertising campaigns and, in some cases, to provide you with Open Career advertisements on other platforms. For example, if you visit Open Career, you might later see an advertisement for Open Career on Facebook or other websites. These tools use cookies or similar technologies to track your visit to our site and allow us to create audiences for ads. This processing is based on consent (via our cookie banner) where required. You can control how these cookies are used via our cookie management tool or through your browser settings (see the Cookies section below).
2.6 Security and Fraud Prevention:
We process personal data as necessary to maintain the security of our Platform and users. This includes detecting and preventing fraudulent activities or abuses. For example, we might use certain data to verify accounts, monitor for suspicious behavior (like multiple accounts created by the same person or unusual login patterns), and block accounts that violate our Terms of Use or engage in malicious activities.
2.7 Legal Compliance:
We may use and retain your information to the extent necessary to comply with our legal obligations. For instance, if financial transactions occur, we might keep records required by tax laws or financial regulations. We might also process data to respond to lawful requests by authorities or to comply with legal processes (e.g., a court order to disclose data).Additionally, we use your information to enforce our Terms of Use and other agreements, or toinvestigate and prevent violations of our policies or law (such as fraud, security incidents, or misuse of the Platform).
2.8 Other Purposes (with Notice):
If we intend to use your information for a purpose not described in this Privacy Policy, we will notify you (for example, via an update to this policy or a separate notice at the time of data collection) and, if required by law, obtain your consent.
Our use of your data will always have a lawful basis under UK GDPR. Depending on the context, the lawful basis may be: your consent (e.g., for marketing emails or non- ssential cookies), performance of a contract (e.g., providing the job board service you signed up for), legitimate interests (e.g., improving our services, ensuring security—balanced against your rights and expectations), or compliance with a legal obligation.
3. How We Share Information
We understand that your personal information is important, and we are careful about how we share it. We do not sell your personal data to third parties. We may share or disclose information in the following situations:
3.1 Sharing with Employers (for Candidates):
If you are a Candidate and you apply to a job or make your profile searchable to employers, your relevant personal information will be shared with the Employer who posted the job, or with other employers who have access to our candidate search (only to the extent you have made your profile public/searchable). This typically includes the information in your CV and profile: such as your name, contact details (if you choose to share them or when you apply), work experience, education, skills, and any answers to application questions. Once an Employer has your information, they will handle that information according to their own privacy practices. We encourage Employers to handle candidate data responsibly and in compliance with data protection laws, but ultimately they are independent data controllers of the information they receive from our Platform.
3.2 Sharing with Candidates (for Employers):
If you are an Employer and you post a job, the content of your job listing (including company name, job title, job description, location, and any contact details you include in the job post) will be viewable by candidates and visitors to the site. Employers should only include information in job descriptions that they are willing to make public. When a Candidate applies to your job through Open Career, they may receive certain
information about your company or the contact person (for example, if an application confirmation email includes your company name or if you provide an email address for applications). As an Employer, by using our Platform, you agree that we can share your provided company and job information with candidates
3.3 Service Providers:
We use trusted third-party service providers to help us operate and improve Open Career. These include:
3.4 Hosting and Infrastructure:
Companies that provide cloud storage, database, or server hosting for our website and data
3.5 Email and Communication Services:
Providers that facilitate sending out verification emails, notifications, or support messages.
3.6 Analytics Services:
As noted, we use Google Analytics (and similar analytics tools) which involve Google processing usage data to provide us with insights.
3.7 Advertising Partners:
We use platforms like Facebook/Meta and Google for advertising and analytics purposes (e.g., Meta Pixel, Google Ads conversion tracking).
3.8 Payment Processors:
If we handle payments (like Stripe in the future), those processors handle the payment transactions securely on our behalf.
We only share information with these providers to the extent necessary for them to perform their services. For example, our hosting provider will store data (including personal data) on their servers, our email provider will handle your email address and the content of emails we need to send you, and analytics/advertising partners will receive information via cookies or scripts on our site (they might collect your IP, device info, site activity, etc. for their analytics). These third parties act on our instructions and are bound by contracts to protect your data (for instance, data processing agreements under GDPR) and to use it only for the purposes we specify. – Business Transfers: If Open Career is involved in a merger, acquisition, investment, reorganization, or sale of assets, or in the unlikely event of bankruptcy, your information could be transferred to a successor or affiliated entity as part of that transaction. If such a transfer occurs, the use of your personal data will remain subject to this Privacy Policy (unless you are notified of changes). We will endeavor to notify you of any ownership change or data transfer by posting a notice on our site or contacting you, if you have provided contact information. – Legal Compliance and Protection: We may disclose your information when we believe in good faith that such disclosure is necessary to comply with a legal obligation or request. This includes responding to court orders, subpoenas, or lawful requests by government authorities. We may also share information if we believe it is necessary to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the safety or rights of any person, violations of our Terms of Use, or as evidence in litigation in which Open Career is involved. – With Your Consent: Apart from the cases above, if we want to share your information in a way that is not covered by this Privacy Policy, we will ask for your consent. For example, if we were to feature a testimonial or success story from a user on our website, we would seek permission before using any personal details. Similarly, if we collaborate with a partner for a joint event or feature that involves sharing data, we would let you opt-in to that sharing. – Aggregated or Anonymized Data: We may share data that has been aggregated or anonymized, so it no longer identifies you personally, with third parties for research, marketing, or other business purposes. For instance, we might publish reports or statistics about employment trends (e.g., average number of applications per job in a given month, or popular job categories in a region) that do not contain any personal information.

Open Career uses cookies and similar tracking technologies to provide, personalize, and improve our services, as well as to support our advertising efforts (for our own services). A “cookie” is a small file placed on your device that enables certain features and functionality. In this section, we describe how we use cookies and how you can manage them. Types of cookies we use:
4.1 Essential Cookies:
These are necessary for the operation of our website. They include, for example, cookies that enable you to log into secure areas of the site, navigate the Platform, and access core features. Without these cookies, services you’ve asked for (like logging in or
submitting a job application) cannot be provided. Essential cookies also help keep your session secure. Because they are necessary for the site to function, these cookies are always active and are set without requiring user consent.
4.2 Functional Cookies
These cookies allow the website to remember choices you make (such as your username, language, or region) and provide enhanced, more personalized features. They may also be used to provide services you have asked for, like watching a video or using a live chat. Functional cookies can also include certain scripts or tools that, while not essential, improve usability (for instance, a tool that remembers some of your job search filters for next time). We seek your consent for these cookies via the cookie banner. If you disable them, some of these features may not function as intended, but the core service will still be accessible
4.3 Analytics Cookies
These cookies collect information about how visitors use our site. They help us understand things like how many people visit, what pages are popular, how users move around the site, and if they encounter errors. We use this data to improve how the website works. For example, analytics cookies might tell us that a lot of users drop off at a certain step in the registration process, indicating we might need to simplify it. We primarily use Google Analytics, which sets its own cookies to track user interactions. The data collected is aggregated and anonymized; it does not identify you personally. We do, however, capture things like an anonymized IP address and device information which can give us geographic and technical usage insights. We only set analytics cookies if you have given consent through the cookie banner.
4.4 Advertising (Marketing) Cookies:
Open Career may use advertising cookies in conjunction with platforms like Facebook (Meta) and Google Ads to promote our platform. These cookies record your visit to our site, the pages you have visited, or the actions you have taken. They are used to deliver ads more relevant to you and your interests – only related to Open Career’s own services, as we do not host third-party ads on our site at this time. For example, the Meta Pixel cookie allows us to show you an Open Career ad on Facebook later, or to measure if an ad led you to create an account. These cookies also help prevent the same ad from continuously reappearing and ensure the ad content is displayed properly. Advertising cookies are placed only if you opt-in via the cookie consent. If you do not allow these cookies, you will experience less targeted advertising from us on other platforms.
4.5 Third-Party Cookies:
In addition to the above, certain third-party features on our site (for example, an embedded video from YouTube, a map from Google Maps, or a plugin from a social network to share content) might set cookies. We endeavor to minimize such third-party embeddings, but when they are present, they may also collect data about your browser or device when you interact with them. These cookies would typically fall under the categories above (functional or analytics or advertising, depending on their purpose) and will be handled according to your preferences.

5. Data Retention
We retain personal data for as long as necessary to fulfill the purposes outlined in this Privacy Policy, and to comply with legal or accounting obligations or to resolve disputes. How long we keep data depends on the type of information and the purpose for which we collected it:
5.1 Account Information:
We keep your account data (such as your profile information, CV, and job postings) for as long as your account exists because it is needed to operate your account. If you delete your account or if it is terminated, we will initiate the process of removing or anonymizing
your personal data. In general, within a reasonable period after account deletion, most personal data will be removed from active systems. However, our backups or archives may retain some data for a certain period until those systems are updated, and we may retain minimal information to comply with legal obligations or to prevent fraud (e.g., we might keep a record that an account with your email existed, to avoid re-use in certain malicious ways).
5.2 Job Application Data:
If you are a Candidate and you apply to a job, the data related to that application (your CV, application answers, and the fact you applied) will be made available to the Employer. We store application records for a period of time (for example, 1-2 years) to allow you and the employer to refer back to them and to maintain a record for legal and operational reasons. Employers who receive your application may download or retain a copy outside our Platform; their retention of your data is governed by their own policies.
5.3 Employer Job Postings:
We may retain copies of job postings and related data (even after a job post expires or is removed) for a period for record-keeping, analysis of hiring trends, or to improve our services. This data helps us, for example, to understand seasonal trends or to prevent duplicate postings of fraudulent jobs
5.4 Communication Records:
If you contacted Open Career support or we communicated with you (or between users through our systems), those communications might be kept for a time to ensure we have a history of issues and resolutions. Typically, we might keep support emails for a couple of years, unless you request deletion sooner and we no longer need them
5.5 Analytics Data:
Data collected through analytics cookies may be retained by our analytics providers. For instance, Google Analytics data is typically retained for 14 months (as per our settings) for user-level and event-level data associated with cookies, user identifiers, etc., after which it is deleted automatically. We retain aggregated analytics indefinitely since they do not identify individuals
5.6 Legal Requirements:
In certain cases, we may need to retain data for longer periods if required by law. For example, if any financial transactions occur, we might need to retain transaction records for a number of years for tax and accounting purposes. Also, if we are dealing with a legal dispute or if law enforcement requests data and is legally entitled to it, we will retain whatever data is necessary for that purpose.
When we no longer have a legitimate need or legal obligation to keep your personal information, we will securely delete it or anonymize it so that it can no longer be associated with you.
6. Your Rights Under UK GDPR
As a user of Open Career, you have certain rights regarding your personal data under the UK GDPR and other applicable laws. These rights include:
6.1 Right to Be Informed:
You have the right to be informed about the collection and use of your personal data. We fulfill this right primarily through this Privacy Policy and our GDPR & Cookies Policy, explaining how and why we process your data.
6.2 Right of Access:
You have the right to request access to the personal data we hold about you and to obtain information about how we process it (commonly known as a “Subject Access Request”). Upon request, we will provide a copy of the data in a commonly used electronic form (unless you request otherwise). This allows you to verify the lawfulness of our processing.
6.3 Right to Rectification:
You have the right to have inaccurate personal data corrected, or incomplete data completed. You can update much of your information directly by logging into your Open Career account (for example, editing your profile or changing your account details). If there is any information you cannot change yourself, you can contact us and request correction.
6.4 Right to Erasure:
You have the right to request deletion of your personal data in certain circumstances (also known as the “right to be forgotten”). For example, you can request erasure if the data is no longer necessary for the purposes it was collected, if you withdraw consent (and
we have no other legal basis for processing), or if you object to processing (and we have no overriding legitimate grounds to continue). Note that this right is not absolute – we may need to retain certain data for legal obligations or legitimate interests as described in our Data Retention section. If you delete your account, we will erase your personal data on our active systems as described above, but some data may persist in backups or in records (we will securely store and isolate it until deletion is possible).
6.5 Right to Restrict Processing
You have the right to request the restriction of processing of your personal data in certain scenarios. This means we would continue to store your data but temporarily suspend any other processing. You might request this if, for instance, you contest the accuracy of the data (while we verify it), or if you have objected to processing (while we consider our legitimate grounds), or if processing is unlawful but you prefer restriction over deletion. If processing is restricted, we will inform you before lifting the restriction
6.6 Right to Data Portability:
For data that you have provided to us, which we process by automated means based on your consent or for performance of a contract, you have the right to obtain that data in a structured, commonly used, and machine-readable format, and to transmit it to another service provider (where technically feasible). In practice, this could mean you request a download of your profile data and job application history to port to another job
service.
6.7 Right to Object:
You have the right to object to our processing of your personal data when that processing is based on legitimate interests or for direct marketing. If we are processing your data based on our legitimate interests, you can object and we will consider whether our interests are overridden by your privacy rights. If you object to direct marketing (including any profiling related to direct marketing), we will stop processing your data for those purposes immediately
For example, you can unsubscribe from our marketing emails at any time, and you can opt out of advertising cookies as described in our Cookies Policy
6.8 Rights related to Automated Decision Making:
You have the right not to be subject to a decision based solely on automated processing (including profiling) that produces legal effects
or similarly significant effects for you, unless it is necessary for a contract, authorized by law, or based on your explicit consent. Open Career does not currently make any such autonomous decisions without human involvement that would have a significant impact on you (for instance,
we don’t have an automated system that rejects candidates or something without human review). If that ever changes, we will inform you and ensure we provide an option for human
intervention or review.
6.9 Right to Withdraw Consent:
If we are processing your personal data based on your consent, you have the right to withdraw that consent at any time. For example, you may have given consent for receiving marketing emails or for us to use certain cookies. You can withdraw consent by unsubscribing from emails, changing your cookie settings, or contacting us. Note that withdrawing consent does not affect the lawfulness of processing that happened before the withdrawal.
6.10 Right to Complain
If you believe we have infringed your data protection rights, you have the right to lodge a complaint with the relevant supervisory authority. In the UK, this is the Information Commissioner’s Office (ICO). We would, however, appreciate the opportunity to address your concerns before you reach out to the ICO, so we encourage you to contact us with any complaint and we will try our best to resolve it.
To exercise any of these rights, you can contact us at privacy@opencareer.co.uk. We may ask you to verify your identity before acting on a request, to ensure that we do not disclose data to the wrong person or make incorrect changes (for instance, we might ask you to send the request from the email associated with your account or provide some identification). We aim to respond to all legitimate requests within one month, but it may take longer if the request is complex or if you have made
multiple requests (we will inform you if an extension is needed).
7. International Data Transfers
Open Career is based in the United Kingdom. However, the personal data we collect may be transferred to and stored in countries outside the UK. This can happen, for example, when we use cloud service providers or technology providers that operate from other countries.
7.1 Within EEA/UK:
The UK government has deemed countries in the European Economic Area (EEA) to have adequate data protection laws essentially equivalent to the UK GDPR, so transfers between the UK and EEA are permitted. If you are in the UK, your data may be processed in the EEA (and vice versa), which is allowed under the UK GDPR.
7.2 Outside EEA (Third Countries):
Some of our service providers (such as Google, Facebook, or Amazon Web Services) may process data in the United States or other countries that do not have the same data protection laws as the UK. When we transfer data outside the UK/EEA, we take steps to ensure that appropriate safeguards are in place to protect your information. Typically, this means using the standard contractual clauses (SCCs) approved by the European Commission (and recognized in the UK) in our contracts with those providers, which obligate them to protect your data to EU/UK standards. In some cases, we rely on other mechanisms such as an adequacy decision (if the country is deemed by the UK to have adequate protection), or binding corporate rules if our providers have them.
7.3 Your Choices:
By using our Platform and providing information, you acknowledge that your personal data may be transferred to facilities located outside your country of residence. We will always handle your personal data in accordance with this Privacy Policy, wherever it is processed.
If you would prefer not to have your personal data transferred, you should refrain from using our services that necessitate such transfer. However, note that because the internet is a global environment, it is difficult to completely avoid any international data routing (for example, even if we served the site only from the UK, data packets might transiently travel through other countries).

8.1 Encryption
Our website uses HTTPS (SSL/TLS) to encrypt data in transit between your device and our servers. This helps prevent eavesdropping on the data as it travels over the internet. When you see the padlock icon in your browser and “https://” in the URL, it means your connection is encrypted.
8.2 Access Controls:
Access to our databases and systems that store personal data is restricted to authorized personnel who require access for their job responsibilities. We employ authentication measures (such as strong passwords and two-factor authentication) to prevent unauthorized login, and we limit each authorized person’s access to only the data they need
8.3 Security Testing:
We regularly update our software and dependencies to patch vulnerabilities. We may also perform security audits and testing (sometimes using third-party experts) to identify and fix potential security issues. This includes periodic reviews of our security
procedures and practices.
8.4 Firewalls and Monitoring:
We use firewall systems to protect our network and servers from unauthorized access. In addition, our systems are monitored for unusual activity, and we have intrusion detection mechanisms in place. If any suspicious behavior is detected (like repeated failed login attempts or an unusual spike in usage patterns), our team is alerted to investigate.
8.5 Data Minimization:
We follow the principle of collecting only the data that we need. By limiting the scope of what we store, we reduce the risk exposure. For instance, we do not store personal data longer than necessary, and as mentioned, we do not store any payment card information on our servers.
8.6 Training and Policies:
Our team members are trained on the importance of data privacy and security. We have internal policies to ensure that any personal data is handled with care and confidentiality. Employees with access to personal data are instructed to handle it in compliance with data protection laws and our own data protection standards.
Despite all these measures, it’s important to note that no system is 100% secure. The transmission of information via the internet is not completely risk-free. While we strive to protect your personal data, we cannot guarantee its absolute security. You can also help protect your data by using a strong, unique password for Open Career and keeping your login details confidential. If you suspect any unauthorized access to your account or any security breaches, please contact us immediately so we can assist
9. Children’s Privacy
Open Career is not intended for use by children. Our services are designed for adults in the context of job seeking and recruitment, typically for individuals of working age. We do not knowingly collect personal data from children under the age of 16. If you are under 16 years old, please do not use our Platform or provide any information about yourself.
